RULES, TERMS, AND CONDITIONS

Thank you for having your photo shoot at Studio 342. We look forward to creating a memorable experience for you and your clients. Studio 342 staff is here to make your visit as enjoyable as possible so please let us know if there is anything you need prior to, or during your booking.

Please read the following studio rental information and rules:

1. Use of Studio 342 is at your own risk. Studio 342 (Snap YYC Inc.) is not responsible in any way (including monetary compensation) for any injury and/or damage/loss of property you incur during your visit.

2. 100% payment of the studio rental fee is required to secure the date for your booking. Any extras purchased during your visit will be paid at the studio prior to the end of your booking. Payment is required for all time booked in the schedule, with any extra time being billed on site. Unused time cannot be refunded or banked. For example: if you book 2 hours and only use 1 hour you will be billed for 2 hours and any unused time cannot be used towards future bookings. The cash value of unused time cannot be used as credit for any other products we offer.

3. Cancellation of your booking is acceptable 48 hours or earlier before your booking start time. 50% of the studio rental fee will be returned to you. There are no refunds for bookings cancelled within 48 hours of your booking start time. If you pre-purchased any add-ons (lights, seamless paper) you will receive a refund equal to those amounts. Any pre-purchased special décor that we procure on your behalf is non-refundable.

Rescheduling of your booking is acceptable up to 48 hours before your booking start time. Please refer to your booking confirmation email to reschedule your booking. Rescheduling is not permitted within 48 hours of your booking start time.

4. If you arrive late you will not be given a time extension. No refunds or price adjustments will be given for arriving late or missing your time slot.

5. In the event Studio 342 (Snap YYC Inc.) cancels your booking, the limit of liability is restricted to reimbursement of all monies paid to Studio 342 at the time of the cancellation.

6.Studio 342 is located on a private property in a residential area. You are not permitted to enter any part of the property other than the designated studio entrance and marked outdoor storage shed. Please do not approach the residence. If you require assistance during your booking, please contact the phone number provided to you in your booking confirmation.

7. If booked during late night or early morning hours, please be mindful of noise levels to respect the neighbouring residents.

8.Studio 342 will provide you with a one time use code to unlock the door. This is a timed code and can only be entered when your time slot begins and will expire at the end of your booking. Please do not share this code with anyone outside of your attending party.

9.There is no access to the vehicle door without prior arrangement with Studio 342. The man door on the south side of the building is staff only and opening that door is not permitted without prior arrangement with Studio 342. Vehicles are not permitted to be driven into the studio, only pulled up to the apron for unloading/loading.

10.The outdoor storage shed across from the studio entrance holds stands, stools, ladders, sandbags and other items that you are welcome to use during your booking. The lock code will be provided upon arrival. You are required to return borrowed items to the shed or you will incur a $50 restocking fee.

11. You and your guests may enter the studio at the start time of your booking. You may arrive to the property up to 10 minutes in advance but you are not permitted to enter the studio until your start time. We ask that you remain in your vehicle until your designated start time. If you have a large amount of gear to load in please get in touch with us prior to your booking to arrange access to the vehicle door. We may have other bookings leading up to and following your booking so please be respectful of the time. Your booking begins when you enter the studio or at your designated start time, whichever happens sooner.

12. You must clear the studio by the end of your rental period. For example, if you have rented the space for 2 hours you must set up, shoot, tear down/pack up, and clean up, within the 2 hour rental period. If you need extra time, we may be able to extend your booking at 1.5x hourly rate, please contact us as soon as possible for extensions. We often have back to back bookings so we ask that you are mindful of this and clear the studio on time. If you go overtime, you will be billed per minute at a rate of 1.5x the hourly rental rate. If you remain in the studio after your booked time please be aware that our smart lock system will grant access to the next group scheduled in our calendar. Please book enough time to complete your work to avoid same day extensions and conflicts with subsequent clients. Studio sessions ends when the space is vacated and the door is locked, or at your designated end time, whichever comes later.

13.You must vacate the property immediately after your session is complete. Loitering on the property or on neighbouring properties is strictly prohibited. There are coffee shops and restaurants close to the studio if you need to debrief with your crew after your session has ended.

14. Any and all activity in the studio is considered billable time. This includes but it is not limited to: make up, hair, gear set up, gear tear down, breaks, lunch, dinner, mid-session snacks, and outdoor excursions, and chatting/hanging out after the session. Studio 342 provides complimentary tours that can be booked to pre plan your shoot. Please contact us to schedule a free tour. Studio time runs continuously, starting from your booked time or early admittance, whichever happens sooner, and cannot be put on hold.

15. We ask that you keep the space clean during your booking. There is a ZERO tolerance policy for dirty footwear on any upholstery such as sofas, couches, chairs or any other material that cannot easily be cleaned.  If you leave the studio in excessive disarray or stain upholstery you will be charged a minimum $100.00 + GST cleaning fee. CONFETTI BALLOONS/POPPERS popped in the studio incur a minimum $100 clean up fee if any confetti is left behind. We require you to leave the studio space in the same condition as it was in upon your arrival. Cleaning fees are at the discretion of Studio 342.

16. Please observe the following rules when using the Cyclorama:

-Dirty and outdoor footwear is not permitted on the Cyc wall area. Please use clean indoor shoes only or tape the bottom of the shoes with tape to prevent dirt transfer.

-Please stay a minimum of 6 inches from the curved portion of the cyclorama. Holes, cracks, and other damage to the curved portion of the Cyclorama will be subject to a minimum $100 repair fee. Costs associated with repair are at the sole discretion of Studio 342 staff.

-Please keep food, drinks, and equipment a minimum of 12″ away from the curved portion of the Cyclorama.

17. Discharge of any atmospheric particulate matter such as fog, smoke, haze, or any other atmospheric effects are permitted however, if any damage to the studio or studio contents (furniture, lights, heater, etc.) you will be billed to repair the damage.

18. If you or your guests cause damage to the studio or any property of Snap YYC Inc. (including but not limited to building exterior or interior, equipment, photo displays, floors, washrooms, furniture, or props) you will be charged the full cost to repair the damage and any other reasonable fees. Please avoid dragging/pushing furniture across floors as it damages the items. Clients will be financially liable for any damage to floors and/or furniture as a result of dragging, pushing, and/or pulling furniture. If assistance is needed to move furniture, please arrange it with Studio 342 prior to your booking.

19. Any derogatory, aggressive, intimidating, or inappropriate behaviour towards Studio 342 team members will not be tolerated at any time. You will be asked to leave and forfeit your session fees.

20. Studio 342 reserves the right to request ID to verify booking identity. Please have this with you when you arrive.

21. All gear, props, furniture or any item you are bringing for your session must be removed from the studio at the end of your booking. Studio 342 cannot store items onsite unless prior arrangements have been made. If third party deliveries are being made to Studio 342, they must occur during your booked time unless special arrangements are made. Studio 342 cannot guarantee staff is available to accept deliveries.

22. Studio 342 reserves the right to change our walls, backgrounds, props, and furniture without notice, for any reason. If you have your eye set on something specific it is best to send us a message to make sure it will be available during your booking.

23. Studio 342 is customizable and may change throughout the year, for this reason the studio may not be exactly as pictured. We recommend a free tour and a short meet and greet sometime before your booking. Please contact us to schedule a free tour.

24. Studio 342 welcomes videographers, however, please be advised that although we are located in a quiet area, the studio is not soundproof. If you need audio assistance, you can hire our in house professional audio consultant (fee dependent on project).

25. Studio 342 cannot be held responsible for any production interruptions related to external factors beyond the control of Studio 342. Examples of such interruptions include but are not limited to: building infrastructure, emergency sirens, road noise, construction, heating and cooling (or lack thereof), power outages/amperage limits, acts of god, happenings with neighbours, internet outages, sound leakage, and any other factor deemed an interruption by clients but beyond the control of Studio 342.

26. Pets are permitted but must stay on leash until they can be secured inside the studio. You are responsible for cleaning up pet mess, including but not limited to, bathroom accidents, dirty paw prints on floors/furniture, and hair on furniture. Pets are not permitted to roam the property.

27. No alcohol, smoking, vaping, marijuana, or illegal substances are permitted in the studio at any time. Please do not smoke or vape on the property or neighbouring properties.

28. The Studio 342 rental fee includes all items listed in the “included” section of the “equipment” page. It does not include seamless backgrounds, painted canvas backgrounds, tube lights, artificial monolights, or any other gear outlined in the “add on” section of the website or the “for rent” section of the “equipment” page.

29. We cannot guarantee the availability of equipment rentals once your session has commenced. To ensure availability of equipment rentals, please contact us prior to your booking start time.

30. The studio 342 rental rates as advertised are only applicable to crews of 10 and fewer. Crews larger than 10 participants must inquire about a custom quote. Multi hour discounts are not available, however, multi day bookings may be subject to a discounted rate. Clients who arrive with a crew larger than 10 participants will be required to pay additional fees before they can use the studio. Alternatively, the client may reduce the compliment of their crew to the permitted 10 and fewer.

31. Studio 342 Staff are not available to assist your photoshoot, dress your models, bring you props/furniture, teach you how to use gear, or set up your shoot. If you would like tutorials regarding studio lighting techniques, camera tips, or scene staging, please inquire about details and rates for workshops or mentoring. If you need an assistant for your photoshoot please inquire with us for rates and availability prior to booking.

32. Seamless paper backdrops are charged at $35 per 6 ft. If you purchase seamless paper at typical “One time use” and use or damage more than 6ft. you will be charged for additional use of paper at a rate of $6 per ft. The amount of paper used during your session is at the sole discretion of Studio 342 staff.

33. Painted canvas backdrops are charged as a daily flat rate for the duration of your booking, $35 gives you access to all painted canvas backdrops we have available. Due to wear and tear and dirt from shoes, Studio 342 prohibits floor coverage with painted canvas backdrops. Studio 342 has flooring pieces for rent that can complement the painted canvas backdrops. Clients that damage or soil the painted canvas will be billed for cleaning and/or replacement.

34. Permitted use of Studio 342 is limited to photo and video sessions. Any other activities such as workshops and events are strictly prohibited under the online boking portal. Please contact us if you would like to book an event or similar activities.

35. Studio 342 reserves the right to amend any part of these rules and policies at anytime.

36. It is your responsibility to make sure everyone in your party is aware of these rules and agrees to abide by them while visiting the Studio 342.


Liability:

I agree that I, my next of kin, executors, administrators and assigns do hereby fully release Snap YYC Inc. from any and all liability, claims and causes of action arising from any injury, damage or loss I / my guests may sustain as a result of being at Studio 342. I agree to indemnify, defend, and hold Snap YYC Inc., its landlord, building owners, officers, employees, and agents harmless of and from any liabilities, costs, penalties, or expenses arising out of and/or resulting from use of the premises, including but not limited to, the personal guarantee of provision, service, and dispensing of payment. This is a complete and irrevocable release. In the event, Snap YYC Inc., its landlord, building owners, officers, employees and/or agents, are required to file any action in court in order to enforce any provisions of this agreement, I agree to pay Snap YYC Inc., its officers, landlord, building owners, employees and/or agents, all reasonable attorney fees, court fees, and costs of suit incurred by Snap YYC Inc., including all collection expenses and interest due.

Failure to abide by the above rules and regulations, or failure to follow directions of Studio 342 team members will result in you being asked to leave the facility and no refunds will be issued.

By booking sessions at Studio 342, I agree to abide by the above rules, and agree to this agreement on behalf of everyone in my party and any minors in my care. I recognize failure to abide by the above rules will result in being asked to leave Studio 342 and forfeit any payments made to Studio 342.
